How to collect society maintenance online, by UPI
Last checked
Most residents already pay everything else by UPI. When maintenance is still collected in cash or by cheque, the society is slower to get paid, the treasurer spends weekends at the bank, and every month someone says “I paid, check again”. Moving collection online fixes the first two quickly. The third needs a little setup, which this guide covers.
Start with the society's own bank account
Every rupee should land in a bank account in the society's name, operated by the authorised signatories. Never collect into the treasurer's or secretary's personal UPI ID, however convenient: it mixes personal and society money, cannot be audited cleanly, and becomes a problem the day the committee changes.
Ask your bank for a UPI ID and QR code on the society account. Most banks offer this for current and society accounts, often as a “merchant” or “business” QR with SMS or app alerts for each payment.
Three ways to collect maintenance online
1. Society UPI ID or QR code
Print the QR on the notice board and share the UPI ID in the group. Residents scan and pay any amount. It is free and simple, and it is where most societies start. The catch: the amount and the flat are up to the resident, so payments arrive unlabelled.
2. A pay link for each flat
A UPI pay link can carry the payee, the exact amount and a note such as the flat number and month. The resident taps it, their UPI app opens with everything filled in, and they only confirm. The money still goes straight to the society account, free, but now every payment says which flat and which month it is for.
3. A payment gateway
A gateway such as Razorpay adds cards, net banking and wallets, confirms each payment to your software automatically, and settles the money to the society account a day or two later. It suits larger societies and residents who prefer cards, and it costs a fee per payment.
What online collection costs
- UPI to the society's bank QR or UPI ID: usually free for the society and the resident. Check your bank's terms for business accounts.
- Payment gateway: a percentage of each payment, higher for credit cards. Many societies keep UPI free and let residents who choose a card pay the card fee, if the general body agrees.
- Software: society apps charge a monthly fee per flat. Aangan is free for up to 20 flats.
The real problem: which flat paid?
The bank statement says “UPI/RAHUL S/HDFC/48213...”. Is that Rahul in B-304, or the tenant in A-102 whose landlord is also called Rahul? Multiply that by every flat, every month, and this is where the treasurer's evenings go. Three habits make it manageable:
- Ask for the flat number in the payment note, every time.
- Send each flat its own pay link with the amount and flat filled in, so nothing depends on memory.
- Record payments as they arrive, not at month end, while the reference is fresh.
Receipts for online payments
A UPI confirmation on the resident's phone is not a society receipt. Issue a numbered receipt for every payment, online or cash, showing the flat, the period, the amount and the UPI reference. It ends “I already paid” arguments and keeps the auditor happy. The free maintenance receipt generator makes one in a minute; a Hindi receipt format is there too.
Moving residents to UPI
- Get the UPI ID and QR on the society account.
- Send a short notice with the UPI details and the date from which online payment is preferred. A ready notice for paying maintenance by UPI is in our notice formats.
- Keep cash open for residents who need it, and give them the same receipt.
- From the next cycle, send each flat its amount with a pay link. Use the reminder templates for the wording.
Most societies see the majority of flats pay online within two or three months, and the ones who pay late are usually the ones who were never reminded personally.
