What goes on a society maintenance receipt

A receipt is the resident's proof of payment and the society's audit trail, so the same details belong on every one. The format above follows what auditors look for in a housing society:

• Society name, address and registration number at the top, so the receipt is clearly from the society and not a person.
• A running receipt number that never repeats or skips. A pattern like MR/26-27/001 restarts each financial year and keeps the year visible.
• Flat, name and period. Write the period in full (October 2026), not just the date of payment.
• Each charge on its own line: maintenance, sinking fund, repair fund, water, parking, late interest. A single lump sum causes questions at the AGM.
• The total in figures and in words, which is hard to alter after the fact.
• How it was paid, with the UPI reference (UTR) or cheque number, and the signature of whoever received it.

Maintenance bill format vs receipt format

Switch the tool to Bill for the monthly maintenance bill format: the same header and charges, plus a due date and the society's UPI ID. Send the bill when the month starts and the receipt when the money arrives. Mixing the two on one slip is the most common reason flats dispute what they owe.

Excel, Word or a receipt book?

A receipt book works until someone loses it. An Excel or Word template works until two committee members keep different copies. Whatever you use, keep receipt numbers in one series, file a copy of every receipt, and match each one to the bank statement at month end.
